Team and Roles

Last updated: 6 October 2026

You do not have to use the panel on your own. From the Team Management page you can invite your front desk, housekeeping or maintenance team and give each person a role and a department. The people you invite appear in the Assign list on the Guest Requests board and receive an email when a request is assigned to them.

The team feature works the same on the Basic and Pro plans; there is no plan-based user limit.

Opening the Team Management page#

Click your name at the top right and choose Team management from the user menu, or click Settings → Team in the left menu. These items are only visible to the Full access and Admin roles (Panel Overview).

From top to bottom, the page contains:

  1. The TEAM label, the Team Management title and a short description.
  2. The Invite a new member box.
  3. The Team members list: each member's name, email, job title, role and department. People who have not accepted their invitation yet are marked Invitation pending; your own row is marked (you).

Roles#

Role (in the panel) Technical name What they can see and do
Full access OWNER The person who opened the account. Sees the whole panel and manages the team. Their role cannot be changed and they cannot be removed from the team.
Admin ADMIN Sees the whole panel and manages the team (inviting, roles, removing).
Manager MANAGER Sees the whole panel; cannot access the team page.
Staff AGENT Sees only the Guest Requests board and their own password page. Handles requests assigned to them or not yet assigned to anyone; cannot assign requests to others. Sees only guest request notifications in the notification bell.

Step by step: inviting a new member#

  1. In the Invite a new member box, fill in the Full name and Email fields.
  2. Optionally, enter a Job title (e.g. "Front Desk Lead", "Maintenance Supervisor"). The job title is shown instead of the role in the user block in the top bar.
  3. Choose a Role: Admin, Manager or Staff.
  4. Optionally, choose a Department: Housekeeping, Maintenance, Front Desk, Guest Services, Food & Beverage, Concierge or Management.
  5. Press Send invitation. Invitation email sent. appears at the top.

The invited person receives an email. They click the link in the email, set their own password and go straight into the panel. The link is valid for 72 hours; if it expires, press the Resend invitation button in that person's row in the list.

Message Meaning
Enter a valid email and name. The name is empty or the email format is wrong.
This email already belongs to an Airoomier account. Another account has been opened with this address. Use a different email.
Member added but the invitation email could not be sent The person was added to the list but the email did not go out. Try Resend invitation.

Changing member details#

Each member's row in the list has two small forms:

  • Full name and Job title: correct them and press Save.
  • Role and Department: choose them and press Save. Member updated. appears at the top.

You cannot change your own role (so that you do not lose your permissions by accident); you can change your department. The name and job title of the Full access account are not edited on this page but in the Business Info → Contact section (Business Info).

Removing a member from the team#

  1. Press the Remove button in the member's row.
  2. Member removed from the team. appears at the top.

Open guest requests assigned to the removed person are not deleted; they become unassigned and wait on the board to be assigned again. The person can no longer log in to the panel. You can invite the same email again later. You cannot remove the Full access account or your own account.

Who gets the notifications?#

  • Emails for a new booking request, a new service request, a knowledge gap suggestion and an AI error go to the business's Full access user by default. Other team members who want them too turn them on on their own Settings → Notifications page (Account and Plans).
  • When a guest request is assigned to a person, that person receives a "New guest request assigned to you" message at their own email. They can turn this off with the Requests assigned to me switch on the Notifications page.
  • Everyone on the team sees the bell notifications; the Staff role sees only guest request notifications.

Tips and common mistakes#

  • The invitation email did not arrive: Ask them to check their spam folder. If it still has not arrived, press Resend invitation; the old link stops working and a new one is sent.
  • My staff member cannot see other pages in the panel: This is normal; the Staff role is only for Guest Requests. If they need to see the whole panel, change their role to Manager.
  • The assign list shows an email, not a name: The person's name was left empty. Fill in the Full name field in their row and save.
  • I share my password with a colleague: We do not recommend it. Send each person their own invitation; that way it is clear who took which request and who receives which notifications.
