The Finance tab is the summary report that shows how much you have earned from your reservations, how much of it you have collected and how much is still owed to you. You do not enter data on this page; every figure is calculated automatically from the payments and refunds you record in the Payment Information section of each booking.
What is on the screen#
When you open Finance from the menu, the title is Finance Report and underneath it says "Track reservation, payment, and refund activity from one screen." The page has no filter, date-range picker or export (Excel/PDF) button. The figures are always calculated over all records so far; only separate cards show specific periods.
From top to bottom, in order:
- Four main cards (revenue, net collected, remaining balance, refunds)
- Three period cards (Today, This Week, This Month)
- The Payment Methods breakdown
- The Last 14 Days chart
- Channel Breakdown (only if there is at least one active booking)
- The Recent Payment Activity list
Which bookings are included in the report?#
The whole report takes non-cancelled bookings into account. That means bookings in the Pending, Confirmed, Completed and No-show statuses are included. Bookings in the Cancelled status drop out of the report entirely, along with their payment and refund records.
Only payments with the status Completed and refunds with the status Refunded are counted. Records you saved on the booking page with the status Payment Link Sent, Reconciliation Pending, Pending, Manual Refund Required or Cancelled do not appear anywhere in Finance: not on the cards, not in the chart and not in the Recent Payment Activity list. These records enter the report the moment they are closed with ✓ Mark as Completed on the booking page. Details are in the How it relates to payment statuses section below.
Main cards#
| Card | Note underneath | How it is calculated |
|---|---|---|
| Reservation Revenue | Excluding cancelled | The sum of the total amounts of all non-cancelled bookings. This is the value of the stays sold, not money already in your till. |
| Net Collected | Payments − refunds | The total of all payments minus the total of all refunds. The result never goes below 0. |
| Remaining Balance | Active bookings | Reservation Revenue minus Net Collected. The result never goes below 0. Requests still in Pending are included. |
| Total Refunds | Completed refunds | The total of all saved refunds. |
Card colors: revenue is in yellow tones, net collected in green, remaining balance and refunds in red. Red does not mean "bad"; it simply sets apart the items that need attention.
The amounts on the cards are formatted with the default currency you selected in your business info (e.g. ₺4.500,00 or €4.500,00). The report is designed to work with one currency; if you keep records in different currencies, the amounts are added up without conversion. You set the currency on the Business Info page.
Period cards#
Three cards show the net payment activity recorded in a given period. Each one says Net payment activity underneath.
| Card | Period |
|---|---|
| Today | From today 00:00 until now. |
| This Week | From this week's Monday 00:00 until now (the week starts on Monday). |
| This Month | From the 1st of the month 00:00 until now. |
The calculation: payments recorded in that period are added up and refunds are subtracted. The date used is the moment the payment was recorded, not the guest's stay date. So a deposit you take today for a future stay appears on the Today card.
For records you first entered with a pending status (e.g. Payment Link Sent) and later closed with ✓ Mark as Completed, the date is the moment you marked it as completed. For example, if you send a payment link on Monday and mark it completed on Wednesday, the amount counts as Wednesday's activity.
If refunds exceed payments, a card can show a negative (minus) figure.
Payment Methods#
The Payment Methods card ("Net collection / refund breakdown") shows the net amount for each of the five methods:
- Cash
- Card
- Bank Transfer
- Online
- Other
The amount next to each method is the payments taken with that method minus the refunds made with that method. The bar underneath is proportional to the highest method; the bars are for comparing methods with each other and do not show a percentage. To see how much cash should be in your till, look at the Cash row.
Last 14 Days#
The Last 14 Days card ("Daily net payment activity") draws one bar for each of the last 14 days, including today. The bar's height is proportional to that day's net activity (payments minus refunds). When you hover over a bar you see the exact amount. Under it, the day and month (e.g. 14.08) are written.
- Days with no activity appear as a very short line.
- A day whose net activity is negative (refunds exceed payments) is also drawn as a bar. The bar direction is not distinguished, so hover over it to see the amount.
Channel Breakdown#
The Channel Breakdown card ("Revenue and count breakdown by the channel bookings came from") shows how much business each channel brings you. Each booking's channel (source) is set when the booking is created: those from Mira's chat become Direct / Web, and the ones you enter manually get the channel you chose in the form. You can change the channel later in the Booking Source section of the booking detail. See the Bookings page for details.
Each row shows:
- The channel name (Booking.com, Airbnb, Expedia, Phone, Direct / Web or Other) followed by a gray "· N bookings"
- On the right, the total amount of that channel's bookings
- Underneath, a bar proportional to the channel with the highest revenue
Calculation rules:
- All non-cancelled bookings are counted (Pending, Confirmed, Completed, No-show). Cancellations are not included.
- The amount is the bookings' total value (the same logic as the Reservation Revenue card); it is not money collected. So a channel's row also includes bookings whose payment has not been taken.
- Channels with no bookings do not appear in the list. If there are no active bookings at all, the card itself does not appear.
- Channels are always listed in the same order (the order above); they are not sorted by revenue.
- It covers all time; no date range can be selected.
The sum of all rows equals the amount on the Reservation Revenue card.
Recent Payment Activity#
Recent Payment Activity ("Most recently completed payments and refunds") lists the latest 12 transactions. Each row shows:
- Payment or Refund and next to it the payment method label (e.g. Cash)
- The booking number (e.g.
BK-7KX3MA) - The date and time and the payment's note, if any
- On the right, the amount: payments green
+, refunds red-
Only Completed payments and Refunded refunds appear in this list; pending or cancelled payment records are not shown here. If there is no activity at all it says No payment activity yet. You cannot jump directly to the booking from the list; note the number and open it from the Bookings page.
How it relates to payment statuses#
Every payment record has a type, a method and a status:
| Field | Values |
|---|---|
| Type | Payment (you received money), Refund (you gave money back) |
| Method | Cash, Card, Bank Transfer, Online, Other |
| Status | Chosen in the Status field on the booking page when you enter the record (see the table below). The default is Completed for a payment and Manual Refund Required for a refund. |
Which statuses enter Finance:
| Status | Type | Counted in Finance? |
|---|---|---|
| Completed | Payment | Yes |
| Refunded | Refund | Yes |
| Payment Link Sent | Payment | No |
| Reconciliation Pending | Payment | No |
| Pending | Payment | No |
| Manual Refund Required | Refund | No |
| Cancelled | Payment or Refund | No |
There is no separate card showing the total of pending records. You find the answer to "who do I expect payment from, and which refund have I not made yet" in the yellow badges in each booking's Payment History list.
The Net Collected and Remaining cards on a booking page and the Finance page calculate with the same logic. For a single booking they are that booking's figures; on Finance they are the totals across all bookings.
Example scenario: a camp and caravan park for one month#
You have three bookings in one month:
| Booking | Status | Amount | Payments | Refunds |
|---|---|---|---|---|
| A | Confirmed | 4,500 | 4,500 | 0 |
| B | Completed | 6,000 | 2,000 | 500 |
| C | Cancelled | 3,000 | 1,000 | 0 |
The Finance page shows:
- Reservation Revenue: 4,500 + 6,000 = 10,500 (C is not included because it is cancelled)
- Net Collected: (4,500 + 2,000) − 500 = 6,000 (C's 1,000 is not included)
- Remaining Balance: 10,500 − 6,000 = 4,500
- Total Refunds: 500
In this example, if you kept C's deposit yourself, that 1,000 TRY is not in the report; remember to add it to your own records.
Suppose A came from the chat (Direct / Web) and B by phone (Phone). The Channel Breakdown looks like this:
- Phone · 1 bookings — 6,000
- Direct / Web · 1 bookings — 4,500
C is cancelled, so it does not appear in the channel breakdown either.
Now suppose you ask for part of B's remaining 4,500 TRY with a 1,500 TRY payment link and record it with the status Payment Link Sent. Until the guest pays, no card changes: Net Collected stays at 6,000 and Remaining Balance at 4,500. When the payment arrives you close the record with ✓ Mark as Completed; Net Collected rises to 7,500, Remaining Balance drops to 3,000 and the 1,500 TRY appears on that day's Today card.
Tips and common mistakes#
- Do not forget to enter payments. Finance only knows the payments you record. If you do not enter cash you received on the booking, Remaining Balance stays high.
- Do not forget to close pending payments. A payment you left as Payment Link Sent or Reconciliation Pending does not appear in Finance, even if the money is already in your account. When the money arrives, press ✓ Mark as Completed on the booking page.
- Channel Breakdown shows sales, not collections. The amount in a channel's row is the total value of the bookings from that channel; it does not show how much of that money has been received.
- Enter OTA bookings too. Booking.com, Airbnb and Expedia bookings do not arrive in the panel on their own. For Channel Breakdown to reflect reality, enter them with Bookings → + New Booking, choosing the correct channel.
- Correct a wrong entry with an opposite transaction. A saved payment cannot be deleted or edited. For a wrong payment, enter a Refund of the same amount with the status Refunded and write the reason in its note. Remember that this will also increase the Total Refunds card. A wrong record that is not yet Completed (still pending) only needs to be closed with Cancel on the booking page; it never enters the report.
- Revenue is not the same as cash. Reservation Revenue is the sale value, Net Collected is the money you actually recorded. The difference is Remaining Balance.
- Pending requests are included in the balance. A request you have not confirmed raises Remaining Balance. If you cancel requests you cannot confirm, they drop out of the report.
- Period cards look at the payment date. A deposit you take in May for a June stay appears on May's This Month card, not in the month of the stay.
- The week starts on Monday. The This Week card adds up from Monday even when you look at it on Sunday.
- There is no export. If you need to give figures to your accountant, take a screenshot of the page or use the Payment History lists in the booking details.
