Incoming Service Requests

Last updated: 6 October 2026

When a guest is chatting with Mira and becomes interested in an extra service (a boat tour, a transfer, a rental), they can send your business a request with one tap. This page is where those requests arrive: you see who asked for which service, with what note and in what status, all in one list, and you manage them from here. To define the services, see Extra Services.

This page is identical on the Basic and Pro plans; there is no plan-based restriction.

What is on the screen#

Click the Extra Services tab in the left menu, then choose Incoming Requests from the two boxes at the top of the page (the other is Services). From top to bottom you see:

  1. The two tab boxes (Services, Incoming Requests).
  2. A small EXTRA SERVICES label, the Service Requests title and the description "Manage service requests from guests for (your business name)."
  3. Four summary boxes:
    • Total requests: the number of requests of all time.
    • Pending: requests you have not dealt with yet (yellow number).
    • Contacted: requests where you have contacted the guest (blue number).
    • Confirmed: requests you have confirmed (green number). If there are cancelled requests, this box also shows Cancelled: N underneath.
  4. A card titled Request list. If there are no requests, the card shows the heading No service requests yet and the text "Requests will appear here when guests tap "Request this service" in chat."

On wide screens the requests are shown as a six-column table; on narrow screens (phone, small tablet) each request is a separate card. The information and buttons are the same. The newest request is at the top. There is no search, filter or paging; all requests are listed together.

Table columns#

Column What it shows
Request A View Conversation link (opens the guest's chat with Mira) and the day/time the request arrived (dd.mm.yyyy hh:mm).
Guest The guest's name and phone. If there is no name it says Unnamed Guest; if there is no phone it says No phone.
Service The name of the requested service.
Note The note the guest wrote on the request form (date, duration, number of people, etc.). If there is no note, — is shown. Long notes are shortened in the table; hover over one to see all of it.
Status A coloured badge: Pending, Contacted, Confirmed or Cancelled.
Action Buttons that change with the status (below).

How a request is created#

This is what happens on the guest side (you do not do these steps, but it helps to know what the guest sees):

  1. The guest asks Mira about a service, or Mira suggests it on her own (see Extra Services, proactive suggestions).
  2. A Request this service button appears under Mira's answer. The button only appears in answers that match a specific service; it does not appear in the general service list answer. The button also stays in the chat history: when the guest reopens the chat later (for example, by going back to one of their past chats), the button appears again under the same answer and can be used. If the service has been taken off sale or deleted in the meantime, the button in the history does not appear. This applies to answers written after the feature was added.
  3. Pressing the button opens a Service request window. At the top it shows the service name and (if there is one) the price. The service name appears translated into the guest's language (for example, a service named "Araç Kiralama" in Turkish appears under its English name for a guest speaking English). The price is shown in a short form: 40€/Day (40€/Gün for a guest speaking Turkish); for details, see the Units section on the Extra Services page. The guest can close the window with the × button at the top right. The guest fills in:
    • Full name (required)
    • Phone (required; must be a valid phone number)
    • Email (required; must be a valid email address)
    • A note field (optional; up to 2000 characters). Placeholder: "You can note the date, duration or number of people here (optional)".
    • The I consent to my personal data being processed for this request. checkbox (required).
  4. The Send request button stays disabled until the name, phone, email and consent box are complete. If the phone or email is invalid, the window shows "Please enter a valid phone number." or "Please enter a valid email address."
  5. Once sent, the window turns into a green confirmation screen with the title Your request has been received and the message "The business will contact you shortly."

The name, phone and email the guest entered are saved on that conversation's guest record. At the same time, the request is reported to you in these ways:

  • A new row is added to the list with the status Pending.
  • A notification titled Yeni hizmet talebi: (service name) appears in the panel's notification bell. The text contains the guest's name, phone, the service and (if any) the note. The notification links to this page.
  • An email with the same notification is sent to team members who have turned on Extra service requests under Settings → Notifications (by default only the Full access user) (Account and Plans).

For a request to be created, the service must currently be For sale. If you took the service off sale or deleted it while the guest was filling in the form, no request is created and the guest sees the error "Hizmet bulunamadı veya artık satışta değil." (Turkish for "Service not found or no longer on sale.").

Step by step: Handling a request#

Example: a guest at your 12-tent camp has requested a boat tour for 3 people on Saturday noon.

  1. Open Extra Services → Incoming Requests. The Pending box shows 1, and the new request with the Pending badge is at the top of the list.
  2. Look at the Guest and Note columns: the name, the phone and the note "3 people, Saturday noon".
  3. If needed, click View Conversation to read the guest's chat with Mira.
  4. Call the guest or message them on WhatsApp. Then press Mark as contacted in the request's row. The badge becomes Contacted, the Pending count goes down by one and the Contacted count goes up by one.
  5. Once you agree with the guest, press Confirm. The badge becomes Confirmed. If the guest changes their mind or the service cannot be provided, press Cancel; the badge becomes Cancelled.

Statuses and buttons#

Status Badge colour Buttons shown
Pending yellow Mark as contacted, Confirm, Cancel
Contacted blue Confirm, Cancel
Confirmed green none
Cancelled red none

Buttons work immediately and do not ask for confirmation. Since Confirmed and Cancelled requests have no buttons, these statuses cannot be undone from the panel. Be sure before you press.

What happens next#

  • Requests stay in the list; there is no delete button. Cancelled and confirmed ones are also included in the counts (Total requests).
  • The Pending, Contacted and Confirmed boxes are not real-time; they show the state at the moment the page loaded. Refresh the page or watch the notification bell to see new requests.
  • If you Delete a service on the Extra Services page, that service's requests also disappear from this list. To take a service off sale, untick For sale instead of deleting.
  • When you open a guest's chat with View Conversation, you go to the matching conversation on the Conversations page.

Example: a weekend of requests#

Imagine three requests arrive on a Friday evening at your 12-tent camp:

  • Boat tour, note: "3 people, Saturday noon". You call, settle the time, press Mark as contacted and then Confirm.
  • Airport transfer, note: "For the Sunday 18:40 flight". If you cannot get back to them the same day, you leave the request as Pending, and the Pending box keeps reminding you.
  • Scooter rental, no note. You reach the guest by phone, but no scooter is available. You press Cancel and offer the guest an alternative.

When you look at the page on Monday morning you see Total requests: 3, Pending: 1, Confirmed: 1 and Cancelled: 1. This way you see the weekend's request traffic, and which one is still waiting for an answer, at a glance.

Tips and common mistakes#

  • Check pending requests at least once a day. The guest sees "The business will contact you shortly"; a quick reply closes the sale.
  • Mark contact first, then confirm. This order lets you see from the counts which requests you have not yet answered. You can also press Confirm directly; the intermediate step is not required.
  • Read the note carefully. Date, number of people and duration are written only in this note; the system has no separate date or capacity field.
  • Check your notification email. The email carries the same information as the panel notification and goes to team members who have turned on Extra service requests. If it does not arrive, check the spam folder and your switch under Settings → Notifications.
  • If you press the wrong button, you cannot undo the status from the panel. If needed, clarify the note with the guest through the conversation and make the correction in your own records.
  • Before deleting a service, check whether it has pending requests. Deleting also deletes all of that service's requests.
  • Panel and guest languages are separate. The panel can be Turkish or English; the guest's chat can be in Turkish, English, German or Russian. The note arrives in the language the guest wrote it in.
