Knowledge Base

Last updated: 6 October 2026

The Knowledge Base is the verified source of Mira's answers. Everything that has no place on the Business Info or Facilities pages (campsite rules, quiet hours, the nearest shop, promotions, frequently asked questions) goes here as short entries. Mira only uses what you wrote; on a topic that is not in the Knowledge Base she does not make up an answer.

This page is the second sub-tab of Info Center in the left menu (the first is Facilities).

What is on the screen#

From top to bottom, the page consists of:

  1. Sub-tab boxes: Facilities and Knowledge Base. Knowledge Base is highlighted.
  2. Header row: INFO CENTER on the left and a usage badge on the right: {count} / {limit} Knowledge Base entries (5 on Basic, 50 on Pro). The badge turns red when you hit the limit.
  3. Title and yellow note: the "Knowledge Base" heading, a short description, and a warning note: topics like check-in/out, breakfast, pets, cancellation policy, transfer and room count have dedicated fields on Business Info; that information always takes priority, so adding the same topic here has no effect.
  4. Import from website button: to pull information from your website instead of writing it from scratch. See Import from Website.
  5. Three counter boxes: Total entries (all records), Active in AI (records Mira uses), Inactive (switched-off records).
  6. Missing Topics section (red outline): topics guests asked about that Mira could not answer.
  7. + Add New Info form.
  8. Saved Info list: each entry is a row that opens and closes. Active entries come first, inactive ones after; within each group, the most recently updated comes first.

On desktop, there is an On this page menu on the left; it lists the sections and the titles of your entries. Click a title and the page scrolls to that entry and opens it. If there are more than 10 items, a search box appears at the top of the menu (Panel Overview).

Step by step: Adding your first entry#

Example scenario: you run "Garden Camp", a campsite with 12 tents. Guests ask about the distance to the sea, quiet hours and the nearest shop. You will add these as three separate entries.

  1. From the left menu, go to Info Center → Knowledge Base.
  2. Scroll to the + Add New Info section.
  3. In the Info title box, write a short topic name. Example: Distance to the Sea. Required.
  4. In the Info content box, write the answer to give the guest, as if it were a ready-made reply. Example: Our campsite is a 5-minute walk from the sea. The beach is free; sunbeds and umbrellas can be rented. Required.
  5. Press Save Info.
  6. The entry is added to the Saved Info list with an AI active badge and is available to Mira immediately.

If the title or content is empty, nothing is saved (error "Bilgi başlığı zorunludur." or "Bilgi içeriği zorunludur.", meaning the title or content is required). If your plan's entry limit is full, a notice replaces the form: "On Basic, you can add up to 5 Knowledge Base entries. Upgrade to Pro for more.", with an Upgrade to Pro link next to it.

Field by field#

Field What it does Example / Note
Info title (Title when editing) The short name of the topic. Mira matches the guest's question against titles first. Required. Distance to the Sea, Quiet Hours, Pet Bathing
Info content (Content when editing) The answer given to the guest. Required. Quiet hours are between 23:00 and 07:00.
AI active / Inactive badge Shows whether Mira is currently using the entry. Inactive entries are not used and do not count toward the limit
Photos Several photos attached to the entry. Shown with the answer when a question matches this entry. PNG, JPG/JPEG, WebP; at most 2 MB each
Turn Off AI Usage / Turn On AI Usage Temporarily disables or re-enables the entry without deleting it. Ideal for off-season promotions
Delete Permanently deletes the entry. No confirmation

Language of entries: Knowledge Base entries are written in a single language, your business's content language (Turkish by default); there is no per-entry translation box. If a guest asks in another language, Mira prepares the answer in that language herself. You choose the content language on the Business Info page. The panel language and the language Mira speaks with guests are separate settings.

How to write an entry#

For Mira to find an entry and answer well, follow these rules:

  • One entry, one topic. Do not put Distance to the Sea and Shop in the same entry. Mixed entries lead to wrong matches.
  • The title should contain the topic word a guest would use. Titles like Distance to the Sea, Barbecue Area, Quiet Hours. Names such as "Info 1" or "Important notice" will not match.
  • Write the content like a ready answer, 1-3 short sentences: in some cases Mira sends the content to the guest unchanged (see below).
  • Write numbers and times explicitly: 23:00-07:00, 5 minutes, free, 150 TL per person. If the information is not there, Mira says she does not know.
  • For promotions and temporary information, write the dates, and when they expire, switch the entry off with Turn Off AI Usage.

Editing, switching off and deleting entries#

Click a row in the list to open it (the arrow on the right turns). In the open row:

  1. Edit the Title and Content boxes and press Save Changes. Editing an existing entry does not count against the limit.
  2. In the Photos section you can add photos to the entry (see below).
  3. Use Turn Off AI Usage (if the entry is active) or Turn On AI Usage (if it is inactive) to disable or re-enable it. A switched-off entry is not deleted; the row shows an Inactive badge and Mira does not use it. Inactive entries do not count toward your plan limit.
  4. Delete removes the entry permanently. No confirmation is asked.

In the collapsed row you see the title, the type badge, the AI active / Inactive badge and the first two lines of the content. Warning boxes may appear below it:

  • Red: "This record is currently NOT USED — the "{topic}" field in Business Info is filled in, and that takes priority." The title mentions check-in/out, breakfast, pets, cancellation, transfer or room count, and the matching Business Info field is filled in. In that case your entry is useless; delete it or move the extra detail into Business Info.
  • Yellow: "This record is currently in use because the "{topic}" field in Business Info is empty." Same topic, but the field is still empty. If you fill that field in, the information there takes over and this entry becomes inactive in effect.
  • Red: "This record is currently NOT USED — it's already covered by the "{facility}" Facility …" Your title matches an existing Facility; because Mira checks facilities before the Knowledge Base, this entry is never shown. Delete it, or add the information to the facility's description.

Adding photos#

Open an entry, choose one or several files in the Photos section and press Add Photos. When a guest's question matches this entry's title, the photos are shown together with Mira's answer. To delete one, hover over the thumbnail and click the red × at its top right. Files must be PNG, JPG/JPEG or WebP, at most 2 MB each; larger files are removed from the selection as soon as you pick them, with the warning "{file} is too large (max 2 MB), removed from the selection."

Missing Topics#

This section is the helper that grows your Knowledge Base on its own. When Mira cannot find verified information for a guest's question, she tells the guest "I do not currently have verified information about this", shows your contact details, and records the question here.

What is and is not recorded

  • If the same question (same language, same words) is asked again, no new row is created; the "{n} time(s) asked" counter goes up and Last asked is updated.
  • If the question is unrelated to your business (for example "What is the capital of Turkey?"), Mira politely says it is out of scope and the question is not added to the list.
  • If you previously pressed Mark Resolved on a topic and it is asked again, it comes back to the list. That means you may not have added the information yet, or may have deleted it.
  • If a guest asked in a language other than your content language, the question is, where possible, translated into your content language before it is saved, so the list reads in your language. The language code at the end of the row shows the language the guest asked in.

What you see in each row

  • The guest's question as written (bold).
  • If the question is in a language other than your content language, an italic Translation: … line under it.
  • {n} time(s) asked · Last asked: {date time} · {LANG} (e.g. TR, EN).
  • If a suggestion is ready, a sentence starting with 💡 Suggestion: and under it the 🤖 AI suggestion — edit with your real info and add: box (see below).
  • On the right, the Mark Resolved button.

The list is sorted with the most-asked topic first and shows 10 topics per page, with ← Previous, page numbers and Next → links below. You can filter by the guest's text by typing in the search box (Search topics...) and pressing Search; with no results you see No topics match your search. If there are no open topics at all, it says Great! There are no unanswered topics right now.

How suggestions are prepared#

When a new topic lands in the list, at first it shows only the raw question and the counters. Suggestions (a topic title and a guidance text telling you what to write) are prepared automatically every night: the system takes up to 50 open topics that do not have a suggestion yet (the most-asked first), groups the ones that mean the same thing, and produces three things for each group:

  1. A short suggestion sentence addressed to you (💡 Suggestion:),
  2. A short title for the Knowledge Base entry,
  3. A guidance text.

Suggestions are written in your business's content language. When the nightly run has prepared new suggestions, a "N new knowledge gap suggestions" notification appears in the bell menu of the panel and an e-mail goes to team members who have turned on System and account alerts (by default only the Full access user).

If you do not want to wait, while there is at least one open topic, press Generate Suggestions Now (it may take a few seconds). A manual run sends no notification or e-mail; you see the result on the page anyway. If generating suggestions fails (for example the AI service does not respond at that moment), it quietly gives up; you can press the button again or wait for the next night.

Adding a topic to the Knowledge Base#

  1. In the 🤖 AI suggestion box of the row, check the title.
  2. Delete the guidance in the content box and write the real information. Example: Pets are welcome. Dogs must be on a leash; extra daily fee of 100 TL.
  3. Press Add to Knowledge Base.

Before adding, the system runs two checks. If the title trips one of them, the entry is not added and a red warning box appears in the row:

Situation Warning you see Your options
The topic is already covered by a Facility (its name or a synonym matches) "This topic is already covered by the "{facility}" Facility … We recommend updating the "{facility}" facility's note instead, and marking this topic Resolved." Mark Resolved, or Add to Knowledge Base anyway
An active Knowledge Base entry looks a lot like this topic "A record that looks a lot like this topic already exists: "{title}". … we recommend opening that existing record from the Knowledge Base list and extending it …" Cancel, or Add as a separate record anyway

The similarity check measures a rough word overlap: it can raise a false alarm, but the final decision is always yours. The facility check only looks at the title.

When the entry is added, this topic and the other open topics that share the same suggestion text are marked resolved together and disappear from the list. The entry is added as Manual Info, active.

If your plan limit is full, a limit notice and an Upgrade to Pro link appear in place of the draft box.

Marking as resolved#

Mark Resolved removes the topic from the list; it does not add anything to the Knowledge Base. Use it when:

  • You added the information somewhere else (Business Info, Facilities),
  • The question is not something you need to answer,
  • The topic is already covered by a facility.

If the same question is asked again later, the topic re-enters the list.

How Mira uses the Knowledge Base#

For the overall flow see How Mira Works. In brief, from the Knowledge Base's point of view:

  1. Order of priority: Mira first looks at the fixed fields on Business Info, then Facilities and Extra Services. If one of those answers, the Knowledge Base is not consulted at all. If a fixed field (e.g. breakfast) is empty, the question falls through to the Knowledge Base.
  2. Ready answer: If the guest writes in your content language, the topic words in their message match exactly one entry's title, and the question does not ask for a detail, Mira sends that entry's content unchanged (with its photos, if you added any). So write the content as it should reach the guest.
  3. Detail questions: For questions asking for a detail, such as "what is the name", "when", "what time", "how much", "price", "how", "which", "phone", "address", "password", "distance", the ready answer is not used; Mira builds the answer from the relevant entries herself. If the detail is not in the entry, she says she does not know and the topic lands in Missing Topics.
  4. If asked in another language: If the guest writes in a language other than your content language, the ready-answer path is not used; Mira prepares the answer from the relevant entries in that language.
  5. If several entries match, Mira considers the relevant entries together and composes the answer from them. Only entries that look relevant to the question are sent to the AI.
  6. If there is no information: When Mira cannot find verified information, she says "I do not currently have verified information about this", shows a contact card with call/WhatsApp/e-mail buttons, and writes the question to Missing Topics.
  7. Photos: If the guest's question contains an entry's title, or that entry is the single best word match across title and content, and photos are attached to it, the photos are shown with the answer. If two entries tie, or the answer is "I have no information", no photos are shown.

Mira uses active entries only.

Plan limits#

Basic Pro
Active Knowledge Base entries 5 50
  • Only active entries are counted; inactive entries do not count toward the limit.
  • The limit applies when adding manually, when adding from Missing Topics, and when approving new entries imported from your website. Editing an existing entry, or updating an existing one through an import, does not hit the limit.
  • When the limit is reached the add forms are hidden; your entries are not deleted.

Tips and common mistakes#

  • Fill in the fixed fields first. Use Business Info for breakfast, check-in/out, pets, cancellation and transfer; Knowledge Base entries on those topics just take up space.
  • Do not write Knowledge Base entries instead of facilities. Use Facilities for the pool, parking, Wi-Fi and similar; otherwise the entry shows the "NOT USED" warning.
  • Look at Missing Topics once a week. It is the most valuable list, showing what guests really ask. Adding three or four entries often closes most of the recurring questions. Then look at the replies flagged Hedging language or Translation issue in Chat Quality: they often show that a vague or long entry needs simplifying.
  • Always replace the guidance in a draft with real information.
  • Do not split the same topic across several entries; extend the existing one.
  • Keep entries short. 1-3 sentences are enough; instead of long texts, open separate entries per topic.
  • Switch off, do not delete: put seasonal information on hold with Turn Off AI Usage instead of deleting it, and turn it on when the season comes. Inactive entries do not count toward the limit either.
  • Deleting cannot be undone and asks no confirmation.
