This page explains which plan you are on, what your plan offers, how to read the counters, what happens when a limit is reached and how to move to Pro. It also covers editing your profile and password, choosing which notification emails you receive, and what the user roles (OWNER, ADMIN, MANAGER, AGENT) mean in the panel.
What is on the screen#
The plan tag in the top bar#
In the top bar, next to your business name, there is a small tag showing your plan:
- On Basic: the Basic tag and next to it an Upgrade to Pro → link. The link takes you to the Upgrade to Pro page.
- On Pro: only the Pro tag is shown, and there is no upgrade link.
You can also reach the same page with Plan & billing in the user menu that opens when you click your name at the top right. On a phone-width layout the business name and plan tag are hidden; use the user menu then.
Settings and the My Profile page#
Click the Settings link at the bottom of the left menu: the My Profile page opens and a sub-menu appears under Settings: My profile, Notifications, Team (only for the Full access and Admin roles) and Plan & billing (not shown to Staff). You can also reach the same page by clicking your name at the top right and choosing My profile from the user menu; you can use this menu on a phone too. At the top of the page you see the SETTINGS label and the My Profile heading; below them are the Profile details and Change password cards (details in the "Profile details and password" section below).
The Upgrade to Pro page#
From top to bottom:
- The PLAN label, the Upgrade to Pro heading and the subtitle "Get more room types, more AI conversations, and all customization options with Pro."
- The Your current plan: Basic (or Pro) line.
- A three-column comparison table: Feature, Basic, Pro.
- If you are on Basic: the How it works box, the Anything you'd like to add? (optional) box and the Send Upgrade Request button. If you are already on Pro, a You're already on Pro box appears instead.
Basic vs Pro comparison#
The table below shows the real values from the plan definitions. The table on the Upgrade to Pro page is built from the same values.

Which plan are the newer features on?#
The features below were added to the panel later. None of them has a plan check; they work exactly the same on Basic and Pro, and they are not listed as separate rows in the comparison table on the Upgrade to Pro page. The one exception is Reviews: the survey and low-rating alerts work on both plans, but sending happy guests to Google / Booking reviews is Pro and has its own row in the table.
| Feature | Where | Plan | Tied to a limit? |
|---|---|---|---|
| Manual booking entry | Bookings → + New Booking (details) | Basic and Pro | Creating is free. The record is created as Pending; when you press Confirm Booking it counts toward the monthly confirmed booking quota (see below). |
| Booking source (channels), Channel filter | The Bookings list and Booking Source on the detail page | Basic and Pro | No |
| Channel Breakdown | Finance (details) | Basic and Pro | No |
| Extended payment statuses (Payment Link Sent, Reconciliation Pending, Manual Refund Required and so on) | Payment Information on the booking detail page | Basic and Pro | No |
| Domain Security | Widget (details) | Basic and Pro | No. Indirect benefit: it stops other sites that copy your code from using up your monthly AI conversation quota. |
| Chat Quality | The Chat Quality page in the left menu (details) | Basic and Pro | No. Because the evaluation makes no extra AI call, it does not use your monthly AI conversation quota. |
| Reviews (satisfaction survey, low-rating alerts) | Analytics → Reviews in the left menu (details) | Basic and Pro | No. Only sending happy guests to Google / Booking reviews is Pro. |
How Pro-only screens look in the panel#
On Basic, the AI Receptionist Identity, Greeting Bubble and Custom Welcome Message sections of the Widget page show a PRO badge next to the title and a "is a Pro feature" warning (with an Upgrade to Pro link next to it); the fields are locked. The lock goes away when you move to Pro. See the Widget page for details.
If your plan is switched from Pro back to Basic, the custom name, photo, welcome message and bubble you wrote earlier are not deleted; they are simply not shown to guests. When you move to Pro again they come back automatically.
How to read the usage counters#
Counters are always in the form used / limit (e.g. 7 / 10). You will find them in these places in the panel:
| Counter | Where | How it reads |
|---|---|---|
| Room types | Room Types page, top right of the New Room Type box | 3 / 4 used |
| Physical units | Inside each room type card, top right of the Add New Unit box | 8 / 10 used (the total across all types) |
| AI Conversations This Month | The box at the top of the Conversations page | 42 / 100 |
| Confirmed Bookings This Month | The strip under the summary cards on the Bookings page | 4 / 10 |
| Knowledge Base entries | Info Center → Knowledge Base | 3 / 5 Knowledge Base entries |
| Monthly imports | The import-from-website page | 0 / 1 imports this month |
| Suggestion chips | Widget → Guided Suggestion Chips | 2 / 3 suggestion chips |
When do the monthly counters reset?#
"This month" counters work on the calendar month: from 00:00 on the 1st of the month until 00:00 on the 1st of the next month. There is no 30-day window that starts from your sign-up date. On the first day of the month the AI conversation, confirmed booking and import counters start again from 0. The room type, physical unit, Knowledge Base and suggestion chip counters are total counters, not monthly ones; they do not reset, and go down only as you delete records.
What is counted#
- AI conversation: The number of conversations, not messages. All of a guest's messages in one session are a single conversation. Only conversations with at least one AI reply are counted. If a guest writes one message and closes the chat without getting a reply, it does not use the quota. Your own test chats are counted too.
- Confirmed booking: Bookings created within that month whose status is currently Confirmed. If the status later becomes Completed, No-show or Cancelled, the booking drops out of the counter.
- The source does not matter: bookings from Mira's chat (Direct / Web) and bookings you enter manually with + New Booking (Phone, Booking.com, Airbnb, Expedia, Other) all go into the same counter. Entering a booking manually does not use the quota by itself; the record is created as Pending and is counted only when you press Confirm Booking.
- The month is set by the creation date: the counter does not look at the check-in date or the day you confirm, but at the month the record was created in the panel. For example, a booking you enter on 28 September and confirm on 2 October does not go into the October counter. A booking for an August stay that you enter and confirm the same day in March goes into the March counter.
- The Channel filter does not affect the Confirmed Bookings This Month strip; the strip always shows the total across all channels.
- Import: Counted the moment you start a scan or a paste import.
- Knowledge Base: Entries you set to inactive are not counted. You can make room by deactivating.
- Room type: Inactive types count too. To make room you have to delete the type.
What do the colors mean?#
The box of the AI conversation and confirmed booking counters turns yellow when you reach 80% of the limit and red when you reach the limit, and a warning text appears under it. The labels of the room type, physical unit, Knowledge Base and import counters change to a highlighted (yellow) color when they reach the limit.
For the AI conversation and confirmed booking limits you also get a notification once per calendar month: when 80% of the limit is used (80% of your AI conversation quota is used, 80% of your monthly booking confirmation quota is used) and when the limit is full (Monthly AI conversation limit reached, Monthly confirmed booking limit reached). It appears in the bell (not for Staff), takes you to the Plan & billing page and is emailed to people who have turned on System and account alerts (see the "Notifications" section below). The other limits produce no notification.
What happens when a limit is reached?#
All limits are applied only at the moment of adding something new. Even when a limit is full, your existing records are not deleted, deactivated or changed.
| Limit | What happens when it is full |
|---|---|
| Room types | A You've reached your plan limit warning replaces the New Room Type form: "The Basic plan allows up to 4 room types. Upgrade to Pro for more." Existing types keep working. |
| Physical units | A warning of the same kind replaces the Add New Unit form in the relevant type: "The Basic plan allows up to 10 physical units in total across all room types..." |
| Monthly AI conversations | New guest conversations cannot be started: in the widget the guest is shown "We're quite busy right now and our AI assistant has reached its conversation limit for this month. But don't worry, you can reach us directly below:" together with contact options. The contact details are the phone, WhatsApp and email in Business Info, so it matters that you have filled them in. Conversations that are already open continue. The counter resets at the start of the month; moving to Pro also raises the limit. You get a notification when the limit is full (and at 80%). |
| Monthly confirmed bookings | On the detail page of a pending booking the Confirm Booking button is hidden and replaced by the box "The Basic plan allows up to 10 confirmed bookings per month. Upgrade to Pro for more." The AI keeps collecting booking requests from guests (requests land as Pending), and you can keep entering bookings manually with + New Booking. You just cannot confirm them. You get a notification at 80% and when the limit is full. |
| Knowledge Base entries | A warning replaces the add-entry area: "On Basic, you can add up to 5 Knowledge Base entries. Upgrade to Pro for more." If the limit fills while you bulk-approve drafts imported from a website, the remaining drafts stay pending; you can approve them after moving to Pro or making room. |
| Monthly imports | A new scan or paste cannot be started; the page shows the warning "Basic planda en fazla 1 aylık içe aktarma kullanabilirsiniz. Daha fazlası için Pro'ya geçin." (this particular message is currently shown in Turkish even in the English panel). |
| Suggestion chips | A new chip cannot be added; a notice appears at the top of the page: "⚠️ On Basic, you can add up to 3 suggestion chips. Upgrade to Pro for more." |
| Conversation history (30 days) | This is not a counter. The Conversations list shows only the conversations of the last 30 days, and the page carries the note "On Basic, only conversations from the last 30 days are listed. Older ones aren't deleted — they'll reappear once you upgrade to Pro." A manual date filter cannot widen this limit. |
Example scenario: a 30-room hotel#
A 30-room hotel with three room types (Standard, Deluxe, Suite) runs into these limits on Basic: it can add only 10 physical units, so 20 of the 30 rooms cannot enter the system. This hotel needs to move to Pro: 100 physical units, 20 room types, 1,000 AI conversations a month and a quota of 100 confirmed bookings will be enough for it. A small camp (say 8 tents), on the other hand, runs comfortably on Basic.
How does switching to Pro work?#
To be honest: the panel is not currently connected to a card or online payment system (iyzico, Stripe, etc.). The only thing you can do is send a switch request from the panel. The process is as follows:
Step by step: sending a Pro request#
- First make sure you have filled in your phone and WhatsApp numbers on the Business Info page (they are added to the request email and make it easier for us to reach you).
- Click the Upgrade to Pro → link in the top bar, or Plan & billing in the user menu.
- Review the comparison table.
- If you like, write in the note box. E.g. "We will add 30 rooms and want Pro from 1 November." (at most 1,000 characters).
- Press the Send Upgrade Request button.
- The message Request received — we'll be in touch shortly. appears at the top of the page.
- After we get in touch, you make the payment by bank transfer (EFT).
- After payment, the Airoomier team switches your plan to Pro manually. The plan takes effect immediately: the Pro tag appears in the top bar and the limits go up.
The "How it works" box in the panel sums this up: "Payment isn't automated yet: when you send a request, it reaches us, and after payment (bank transfer) we manually switch your plan to Pro."
What is attached to the request?#
The request email goes to the Airoomier support address and contains: the business name, the name of the authorized person who opened the account (the Authorized Contact Name you wrote at sign-up), your login email, the phone, WhatsApp and website if you filled them in under Business Info, and the note you wrote. Our replies go to your login email.
| What you see | Meaning |
|---|---|
| Request received — we'll be in touch shortly. | The request was sent. |
| You just sent a request — we'll be in touch shortly. | A second request cannot be sent from the same business within 10 minutes. This is a waiting period set to prevent accidental double clicks. |
| Something went wrong sending your request. Please try again or email support@airoomier.com. | The email could not be sent. Try again or write to us directly. |
| You're already on Pro | Your plan is already Pro; "All Pro features and limits are active on your account." |
Profile details and password#
You open the My Profile page with Settings → My profile in the left menu, or with My profile in the user menu at the top right.
Profile details#
The Profile details card has these fields:
| Field | Description |
|---|---|
| Full name | Required. If you leave it empty and save, the warning Full name cannot be empty. appears. |
| Title (optional) | E.g. "Front Office Supervisor". Can be left empty. |
| Read-only; this is your login email. To change it, contact support. | |
| Role | Read-only; you cannot change your role on this page (Team and Roles). |
After making your changes, press the Save Profile button; the message Your profile was updated. appears. Your name and title are shown in the user menu at the top right and on the Team page.
Changing your password#
- Go to the Change password card on the My Profile page.
- Fill in Current Password, New Password and New Password (Confirm).
- Press the Update Password button.
- A green box says Your password was updated successfully. Your session stays open.
| Warning text | Meaning |
|---|---|
| Please fill in all fields. | All three fields are required. |
| New password must be at least 8 characters. | The password is too short. |
| New passwords do not match. | New Password and its confirmation differ. |
| Current password is incorrect. | You typed the current password wrong. If you cannot remember it, log out and use the Forgot password? flow on the login screen (Getting Started). |
Notifications: email preferences#
Open it with Settings → Notifications in the left menu, or with Notifications in the user menu at the top right. At the top of the page you see the SETTINGS label and the Notifications heading.
On this page each person chooses which events send an email to them. Preferences are personal (and per business); your choices do not affect your teammates. The bell notifications inside the panel are not affected by these settings.
At the top of the Email notifications card you see the address the emails go to; below it there is an on/off switch for each event:
| Switch | When an email is sent | Who sees it | Default |
|---|---|---|---|
| New booking requests | A new booking awaiting confirmation arrives via Mira or the website. | All roles except Staff | Full access: on, others: off |
| Conversations awaiting a reply | A guest's last message has gone unanswered for 10 minutes (Mira couldn't answer or the topic was left to your team). Once per guest message. A bell notification appears too. | All roles except Staff | Full access: on, others: off |
| Extra service requests | A guest requests an extra service in the chat. | All roles except Staff | Full access: on, others: off |
| Important guest requests | New urgent/high-priority requests (and those of the Emergency type), requests past their target time, and requests the guest followed up on. Routine requests only appear in the bell. | Everyone | Full access: on, others: off |
| Requests assigned to me | A guest request is assigned to you, or the guest follows up on a request assigned to you. | Everyone | On for everyone |
| System and account alerts | When 80% of your AI conversation or booking confirmation limit is used and when a limit is reached; also errors in Mira and new knowledge gap suggestions. | All roles except Staff | Full access: on, others: off |
| Low-rated reviews | When a guest gives 1–3 points in the satisfaction survey, with their comment and contact details, so your team can reach out and make it right (Reviews). | All roles except Staff | Full access: on, others: off |
| Daily summary | One email every morning: yesterday's conversation, booking and request counts, today's arrivals/departures and pending work. Not sent if there was no activity. Not shown in the bell. | All roles except Staff | Full access: on, others: off |
The Daily summary email has three parts: yesterday (AI conversations, new booking requests, new guest requests, new extra service requests), today (bookings arriving and departing) and what is pending right now (bookings awaiting confirmation, open guest requests, conversations awaiting a reply). It is not sent if all the numbers are zero. The footer of the email says it can be turned off under Settings → Notifications.
After making your choices, press the Save Preferences button; the message Your notification preferences were saved. appears. The defaults apply until the person saves their own preferences on this page. Users with the Staff role see only the Important guest requests and Requests assigned to me switches; the page shows the note "With the Staff role only guest request notifications can be selected."
Account suspension#
If the Airoomier team suspends an account, you are redirected to the Hesabınız Askıya Alındı (Account Suspended) page when you log in or while moving around the panel: "İşletme hesabınız şu anda askıya alınmış durumda. Devam etmek için lütfen bizimle iletişime geçin." (Your business account is currently suspended. Please contact us to continue.) The page has only a Çıkış Yap (Log Out) button. This page is currently shown in Turkish only. To get the account reopened, write to support@airoomier.com.
User roles and team#
The panel has four roles: Full access (OWNER), Admin (ADMIN), Manager (MANAGER) and Staff (AGENT). When you sign up, your account's user automatically becomes Full access. You invite your colleagues and give them a role and department on the Team management page in the user menu (or Settings → Team in the left menu). For the differences between the roles, the invitation flow and who receives the notifications, see the Team and Roles page.
Tips and common mistakes#
- The counter is near 100 but I have few guests: Your test chats and short conversations that got a reply after a single message are counted too. Watch the counter on the Conversations page. If you see questions unrelated to your business or far more conversations than you expect in Conversations, your code may be in use on another site; turn on Widget → Domain Security and allow only your own domain.
- The quota fills up fast when I confirm phone and Booking.com bookings: Bookings you enter manually also count toward the monthly confirmed booking quota once confirmed. If you confirm more than 10 bookings a month on Basic, consider Pro.
- There are no contact details when the limit is full: When the AI conversation limit is full, guests see the contact options; if you have not filled in the phone/WhatsApp/email in Business Info, there is nothing left to show the guest.
- I sent a Pro request but the plan did not change: The plan is changed manually after payment. If your badge still says Basic, nothing has been done yet; you can write to support@airoomier.com.
- I cannot see my old conversations: On Basic, conversations older than 30 days are hidden from the list, not deleted. They reappear when you move to Pro.
- My inactive room type counts toward the limit: Yes. The room type counter includes inactive types; to make room you have to delete a type you do not use (only types never used in a booking can be deleted).
